2. Scope of this policy

This policy covers personal data collected through the goingamsterdam.com website — for example, when you fill in the contact form. It does not cover personal data that GoingAmsterdam.com may process on behalf of a client while carrying out administrative or bookkeeping-related services under a separate service agreement; that processing is instead governed by the terms agreed with the client and, where required, a dedicated data processing agreement (see section 11).

3. Data we collect

We only collect personal data that you actively provide to us. Currently, this is limited to the information submitted through the contact form on this website:

  • Full name
  • Company name (if provided)
  • Email address
  • Phone number (if provided)
  • The subject/topic you select and the message you write

This website does not use cookies, analytics tools, advertising pixels, embedded fonts from third-party services, or any other tracking technology. We do not automatically collect browsing data, device identifiers, or IP-based analytics through the site itself. Our hosting infrastructure may keep standard technical server logs (such as IP address, requested page and timestamp) purely for security and system-stability purposes; these logs are not used for marketing or profiling and are retained only for a short, limited period.

4. Why we process your data

We use the data you submit through the contact form to:

  • Respond to your enquiry or request for a quote;
  • Assess whether and how we can support your business;
  • Prepare a proposal or service agreement, if you decide to move forward with us;
  • Keep a record of business correspondence, where reasonably necessary.

5. Legal basis for processing

We process contact-form data on the basis of our legitimate interest in responding to enquiries directed to us (Article 6(1)(f) GDPR), and, where an enquiry leads to a service agreement, on the basis of that contract or of steps taken at your request prior to entering into it (Article 6(1)(b) GDPR).

6. How long we keep data

Enquiries that do not lead to a service agreement are kept for as long as reasonably necessary to handle the enquiry and any follow-up, and are deleted after 12 months of inactivity unless you ask us to delete them sooner. Data relating to an actual client relationship is retained for the duration of that relationship and thereafter in accordance with our administrative and legal retention obligations (in the Netherlands, financial administration is generally subject to a statutory retention period of 7 years).

7. Sharing data with third parties

We do not sell or rent personal data. We only share personal data with third parties where necessary to run our business, for example:

  • Our email and office software provider(s), used to send and receive correspondence;
  • Our web hosting provider, which technically stores and serves this website;
  • Our own accountant or professional advisers, where legally required;
  • Public authorities, where we are legally obliged to disclose information.

Where a third-party provider processes personal data on our behalf, we ensure a data processing agreement is in place in accordance with Article 28 GDPR.

8. Cookies & tracking

This website does not set cookies and does not use analytics or advertising trackers. If this changes in the future — for example, if we add website analytics — this policy will be updated in advance and, where required by law, we will ask for your consent through a cookie banner before any non-essential cookie is placed.

9. Security

We take appropriate technical and organisational measures to protect personal data against loss, misuse, unauthorised access, disclosure, alteration or destruction, proportionate to the limited amount of data we currently collect through this website.

10. International transfers

We do not use third-party services established outside the European Economic Area (EEA) to process personal data collected through this website. Should this change, we will only transfer personal data outside the EEA where an adequate level of protection is ensured (for example, through EU Standard Contractual Clauses), and this policy will be updated accordingly.

11. Data we process on behalf of clients

When you engage GoingAmsterdam.com for administrative or bookkeeping-related support, we may process personal data contained in your business records (for example, data relating to your own customers, suppliers or employees) strictly in order to carry out the agreed services, and strictly on your instructions. In that context, GoingAmsterdam.com acts as a data processor and you (the client) remain the data controller. The specific terms of that processing — including security measures, sub-processors and data retention — are set out in the service agreement and/or a separate data processing agreement, not in this website privacy policy.

12. Your rights

Under the GDPR, you have the right to:

  • Request access to the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request erasure of your data, where applicable;
  • Request restriction of, or object to, our processing of your data;
  • Request a copy of your data in a portable format;
  • Withdraw consent at any time, where processing is based on consent, without affecting the lawfulness of processing before withdrawal.

To exercise any of these rights, contact us at privacy@goingamsterdam.com. We will respond within one month, as required by the GDPR.

13. Children

This website and our services are directed at businesses and business owners, not at children. We do not knowingly collect personal data from individuals under the age of 16.

14. Changes to this policy

We may update this privacy policy from time to time, for example if we start using a new tool or service that processes personal data. The "last updated" date at the top of this page reflects the most recent revision. We encourage you to review this page periodically.
